SRGEurope have been appointed to recruit an enthusiastic and driven bi lingual English with Spanish Office Administrator to work for an international shipping company in their Gibraltar office.

The Office Administrator will liaise and work closely with all staff members based in Gibraltar and their other offices.


The ideal Administrator will be expected to demonstrate that they are used to working in a responsive environment and making day to day decisions quickly in this fast paced industry.


The Office Administrator Responsibilities are but not limited to:



  • Secretary work for Directors - various duties

  • Organising and maintaining diaries and making appointments for Directors

  • Arranging travel and accommodation for Directors and staff as required

  • Maintain office services by:

  • Organizing office operations and procedures

  • Controlling correspondence to and from the office

  • Designing and maintaining filing systems

  • Reviewing and approving supply requisitions

  • Liaising with suppliers

  • Assigning and monitoring clerical functions

  • Manage refreshments required in the office daily

  • Manage and Co ordinate all courier suppliers activities in to and out of the business for both packages and letters

  • Business gifts

  • Manage and organize training courses

  • Filing and photocopying

  • Act as first point of contact for people outside the organization and liaise with local regulatory authorities as required

  • Meeting, greeting and hosting visitors at our office

  • Screening phone calls, enquiries and requests, and handling them where appropriate

  • Dealing with incoming email and post and distribute accordingly

  • Occasionally take notes at meetings and to provide general assistance during presentations

  • Provide general administrative support to the business

  • Assist Accounts function where required


The Office Administrator Skills & Experience are but not limited to:



  • Ideally a Bachelor's degree or 2 to 3 years experience in a fast paced admin role with a client focus

  • Must hold a Degree or Higher education Certificate equivalent

  • Fluent written and spoken level English and Spanish

  • Strong Microsoft skills, Word, Excel and Power Point

  • Commercial acumen: Competent in evaluating business and client requirements

  • Able to work independently but also work in a team as this is a small office environment

  • Ability to thrive in extremely fast-paced environment with flexible structure and methodologies

  • Proactive, committed, accurate, stress resistant, solution provider and a healthy competitive spirit

  • Currently residing at Gibraltar or Spain in a local area
